Switch to Sofia

A clearer way to make the switch.

Moving accounting systems is more than importing a file. This guide explains the practical path from QuickBooks to Sofia for a rental portfolio: what Sofia can connect and process, what you configure, what happens to historical records, and where an owner or accountant still needs to make the call.

QuickBooks is not required for Sofia’s built-in accounting workflow.

The short answer

Sofia is built for the next accounting day, not a pretend one-click conversion of every historical decision. Start with the property structure and opening balances that make the current books useful, bring in supported bank history, and keep the source records needed for your accountant and reporting continuity.

A practical cutover

3 kinds of work.
Clearly separated.

Know what Sofia supports today, what you set up yourself, and what still deserves manual or professional review.

01 · Supported workflow

Connect the money.

Sofia can connect eligible bank accounts through Plaid and bring in supported statement or CSV history. Imported activity can move through the same categorization, review, and posting workflow as new bank activity.

  • Connect bank accounts through the existing Plaid flow.
  • Import supported CSV or statement records when a bank connection is not the right source.
  • Review the resulting activity before relying on the books.
02 · Owner-led setup

Name the context.

Your portfolio still needs a structure that reflects reality. Set up properties, map each bank account to the right chart-of-accounts purpose, and establish opening balances for the point where Sofia becomes the accounting system.

  • Confirm properties, accounts, and the chart of accounts.
  • Map cash, credit-card, loan, income, expense, and equity accounts.
  • Record defensible opening balances instead of importing an unexplained plug.
03 · Manual or assisted

Decide what history means.

Sofia does not promise a direct QuickBooks file conversion or automatic cleanup of historical choices. Historical cutover, unusual transactions, and differences between old and new reporting may need an accountant or other qualified advisor.

  • Choose the cutover date and the historical detail worth bringing forward.
  • Preserve QuickBooks reports and source records for continuity.
  • Manually resolve unusual history or ask an accountant to review it.
Before you move

The questions that make
a switch real.

History, account structure, and reporting continuity matter more than the promise of a fast import.

01

What happens to my historical QuickBooks data?

Sofia does not promise a one-click import of a QuickBooks company file. A practical switch preserves your QuickBooks reports and source records, chooses a cutover point, establishes opening balances, and imports supported transaction history where it is useful and available.

02

Can Sofia connect my existing bank accounts?

Sofia supports bank connections through Plaid. The available history depends on the connection and the history window requested when the account is linked; a date filter in the app cannot recover transactions the connection never fetched.

03

Do I need to rebuild my chart of accounts?

You need to confirm that Sofia’s chart of accounts and account mappings describe the portfolio you are bringing over. Existing accounts may need to be mapped, renamed, or recreated for a clean cutover; existing journal entries should not be assumed to change just because an account name changes.

04

Can I import historical QuickBooks transactions?

Sofia supports CSV and statement-import workflows, but this guide does not promise direct QuickBooks-file conversion. Treat historical import as a scoped choice: use supported records where they improve continuity, then review the resulting categorization and opening balances.

05

Will I still need QuickBooks after switching?

QuickBooks is not required for Sofia’s built-in accounting workflow. You may still retain historical QuickBooks reports or records for your own archive, accountant handoff, or continuity with prior periods.

06

What can I give my accountant after the switch?

Sofia provides ledger-backed financial reports, including P&L and Balance Sheet views, plus the underlying journal and reconciliation context needed to review how property activity reached the books. Your accountant may also need retained QuickBooks reports and source documents for prior periods.

Accountant handoff

Give your accountant a connected starting point.

A good handoff is not a claim that the past disappeared. Share the chosen cutover date, opening-balance support, retained QuickBooks reports, imported-history scope, and any items Sofia held for review. Then your accountant can see the property activity, journal, reconciliation, and reports in one path.

An honest boundary

What Sofia does not promise.

A switch is safer when the boundaries are explicit. Sofia handles the supported accounting workflow, but it does not invent missing history, decide every historical treatment, provide tax or legal advice, or guarantee that a QuickBooks setup converts without review.

  • No one-click QuickBooks company-file migration is promised.
  • No automatic reconstruction of missing or questionable historical decisions.
  • No promise that every prior report will match without a planned cutover.
  • No substitute for qualified advice on tax, legal, or unusual accounting questions.
Your first test

Start with one real property and one real month.

List the accounts, properties, opening balances, and reports you need at the cutover. Then test a rent deposit, mortgage payment, transfer, and repair. The goal is a reviewable accounting path—not merely a populated transaction list.

Switching questions

Plan the handoff,
not just the import.

These answers describe Sofia’s current workflow and do not replace professional advice for a specific set of books.

Is switching from QuickBooks to Sofia automatic?+

No automatic QuickBooks company-file migration is promised. Sofia supports connected accounts and supported CSV or statement imports, while the cutover, opening balances, historical scope, and unusual decisions remain owner-led or assisted.

Can I keep my QuickBooks history?+

Yes. Retaining prior QuickBooks reports and source records is a sensible part of a switch, especially for prior-period continuity and accountant review. Sofia does not require you to pretend that historical records no longer exist.

Do I need an accountant to switch?+

Not for every setup task. An owner can connect accounts, establish context, and review supported activity, but an accountant or qualified advisor can be useful for cutover decisions, opening balances, unusual history, and prior-period reporting.

What is the first step?+

Inventory the properties, bank and credit-card accounts, loans, opening balances, and reports you need. Then compare that list with the supported connection and import workflow before choosing a cutover date.
